Site diary app for construction subcontractors
The site diary is the record you reach for months later when a variation, a delay or a dispute needs evidence. SubbieSure keeps that record against the project instead of in a notebook in a ute.
What is a site diary?
A site diary is the daily record of what happened on a job: who was on site, what work was done, weather and site conditions, deliveries, visitors, delays, incidents and anything that might later explain a cost or a program change. On most subcontractor jobs it is kept in a notebook, a spreadsheet or not at all.
What does the SubbieSure project diary capture?
SubbieSure includes a project diary entry as part of the site forms set, alongside prestarts, SWMS, toolbox talks, incidents and hazards, maintenance requests, variations, deliveries and consumables, drawing markup and inspections. Entries sit against the project, so the daily record and the commercial record are in the same place.
Why keep a digital site diary instead of paper?
Paper diaries are hard to search, easy to lose and rarely include photos that survive the trip back to the office. A digital diary is time-stamped, searchable by project and date, and can carry photos of the condition or the obstruction on the day it happened. When a variation is queried, the entry is retrievable rather than reconstructed from memory.
Does it work without mobile coverage?
The mobile apps include offline mode and sync when a connection is available again. That matters on basement, tunnel and remote sites where a diary entry is written at the end of the day rather than at a desk. Test the workflow in the conditions your crews actually work in before deciding.
How does the diary link to timesheets and scheduling?
SubbieSure connects rostering, timesheets and site records on the same platform. Hours worked, who was scheduled and what the diary records for that day can be checked against each other, which is how most subcontractor disputes start: a mismatch between what was planned, what was worked and what was recorded.
Does a site diary prove anything legally?
A diary is evidence, not a verdict. Contemporaneous, consistent records are more persuasive than ones written up weeks later, but what a record proves depends on the contract, the jurisdiction and the circumstances. Keep it accurate and factual, and get contract advice for disputes rather than relying on software.
